Tier 4/ Student visa Absence/Mobility Form

(This form does not replace the extenuating circumstances procedure in your faculty)

We advise you to talk to your supervisor, programme manager or personal tutor before you complete this form

What do we mean by absence or mobility and what effect does it have on your studies and Tier 4/Student visa?

Absence - what is Absence?

For Tier 4/Student visa students this is defined as a period of time when you are not able to study or attend lectures, for example due to illness, injury or personal reasons

Mobility - what is Mobility?

For Tier 4/Student visa students this is defined as a period of time spent away from the University (and maybe outside of the UK) where you study at a different location, for example gathering data in your home country

Absence - What should you do?

You must inform the compliance team as soon as possible by completing & returning this form - please read the instructions at the end

No planned absence during term time is expected or will be authorised by the University, however we understand that sometimes exceptional circumstances occur that mean you may be absent for short periods.

The compliance team must be kept informed when these situations happen so we can assist you in maintaining your visa status and so we can explain your situation to UKVI officers if you are stopped at the UK border.

You must inform us if the period of absence stated on this form becomes longer

Extenuating circumstance procedures should still be followed as per usual procedures

What will the University do with this information?
  • On receipt of this form we will check with your Faculty / Supervisor. If they have stated that you can continue with your studies after your absence no action will be taken, other than to record the dates of your absence
  • If your Faculty have stated that you cannot continue with your studies after your absence we will be in touch with you to confirm the next steps
  • It is unlikely that an absence of longer than one month would be permitted during term time. If the absence was longer than this then usually the University will stop sponsoring you under Tier 4/Student visa
Mobility - What should you do?

You must inform the compliance team as soon as possible by completing & returning this form - please read the instructions at the end. You will also be responsible for arranging alternative academic engagement monitoring methods

The compliance team will try and support students undertaking periods of study away from the University, but this is only possible where satisfactory alternative attendance/engagement monitoring can be arranged

You must inform us if the period of mobility stated on this form becomes longer

What will the University do with this information?
  • On receipt of your form we will check what alternative monitoring arrangements have been agreed. It is your responsibility to arrange these with your supervisor / tutor and ensure that the information is supplied here
  • Changes to your study location will be reported to UKVI where required. If we cannot monitor your attendance or engagement with your course satisfactorily during this period we will stop sponsoring you under Tier 4/Student visa and report this to UKVI where required
  • If you will not return to the UK at all before your course completion date, then usually the University will stop sponsoring you under Tier 4/Student visa as you no longer require your visa.
  • This does not affect your enrolment on or completion of your course. You will remain enrolled and complete your programme from home
